Membership Terms and Conditions

By joining High Rollers Canberra, you’re not just joining a gym—you’re joining the best martial arts community in Canberra. We look forward to supporting your journey, celebrating your progress, and building a fantastic relationship together!
As part of your membership there are some terms and conditions which we want you to be across.
1. Membership Agreement
1.1 By joining High Rollers Canberra (“High Rollers”), you agree to abide by these Terms and Conditions, which form a legally binding agreement between you and High Rollers.
1.2. Memberships are personal and non-transferable.
1.3. Membership types, inclusions, and pricing are detailed at the time of joining and may be updated from time to time with notice.
2. Membership Fees and Payment
2.1. Membership fees are payable in advance by direct debit fortnightly. Alternative arrangements to fee payment maybe agree on with High Rollers at their discretion.
2.2. It is your responsibility to ensure sufficient funds are available for direct debit payments.
2.3. If a payment fails, you may be charged a dishonour fee, and your access to High Rollers may be suspended until all outstanding amounts are paid.
2.4. We reserve the right to increase membership fees. You will receive at least 28 days’ notice of any fee changes.
2.5. If you miss three (3) consecutive payments (i.e., three failed direct debits in a row), we reserve the right to suspend or cancel your membership immediately. You will remain liable for any unpaid membership fees and any payments due up to and including the end of any applicable notice or contract period.
2.6. If your membership is cancelled due to non-payment, you remain legally responsible for all outstanding amounts. We reserve the right to pursue recovery of any overdue fees as a creditor, including but not limited to engaging a debt collection agency or pursuing legal proceedings, and you may be liable for any reasonable administrative, collection, or legal costs.
2.7. Before cancellation for non-payment, you will be (a) notified in writing of all failed payments, (b) given a reasonable period (at least 7 days) to rectify the outstanding balance, and (c) issued a final notice advising that suspension or cancellation will occur if payment is not made. During suspension, access to the facility may be denied.
2.8. If you are experiencing financial hardship, please contact us as soon as possible to discuss alternative arrangements. We will consider reasonable payment plans on a case-by-case basis.
3. Joining Fee and Rejoining Policy
3.1. There is no joining fee for first-time members.
3.2. If you cancel your membership and later wish to rejoin within a 12-month period, a joining fee of $180 may apply.
3.3. This fee is non-refundable and payable at the time of rejoining.
4. Freeze (Suspension) Policy
4.1. You may apply a membership freeze for a minimum of 2 weeks and a maximum of 2 months, at a maximum of 2 times within a year.
4.2. All freeze requests must be submitted in writing to admin@highrollerscanberra.com.au at least 28 days (4 weeks) before the intended freeze date.
4.5. Membership cannot be frozen retrospectively or during the notice period for cancellation.
4.6. Medical freezes can be granted at any time provided there is a medical certificate supporting the membership freeze. This does not count towards the membership freeze outlined in 4.1.
4.7 Australian Defence Force (ADF), law enforcement and emergency personel can apply for membership freezes for deployment periods. This does not count towards the membership freeze outlined in 4.1.
5. Cancellation Policy
5.1. You may cancel your membership at any time by providing 28 days’ written notice via email to admin@highrollerscanberra.com.au.
5.2. Membership fees are payable throughout the notification period and up until the date of cancellation.
5.4. No refunds are provided for unused portions of membership or for partial months.
6. Access and Attendance
6.1. Members must check in via the check-in tablet upon arrival.
6.2. Access may be denied if fees are outstanding or if you breach these terms.
6.3. High Rollers reserves the right to alter class schedules, operating hours, or close for public holidays, maintenance, or events with reasonable notice.
7. Code of Conduct
At High Rollers, we are committed to maintaining a safe, respectful, and positive training environment for all members, trial participants, and their families. By attending our gym, you agree to adhere to the following standards:
7.1 Hygiene
All members, trial members, and open mat participants must maintain high standards of personal hygiene:
- Clean Clothing: All training attire (gi and no-gi) must be clean, free of odour, and washed before each session.
- Personal Cleanliness: Members must arrive clean, with bodies free of odour.
- Hand Washing: Hands must be washed prior to training.
- Nail Care: Fingernails and toenails must be trimmed and kept short.
- No Make-up or Hair Dye: Members must be free of make-up and hair dye during training.
Enforcement: If a coach or member brings a hygiene concern to the coaching staff’s attention, you may be asked to conclude your training for the day. Repeated breaches will result in a two-week suspension and may lead to membership termination.
7.2 Behaviour
We pride ourselves on being a fun, friendly, family-oriented club. All members and their families are expected to:
- Show Respect: Treat training partners, coaches, and all members with respect at all times.
- Positive Communication: Negative, pejorative, or attacking comments—by members or their family—will not be tolerated.
- Zero Tolerance for Violence: Any deliberate and malicious attack on another member will result in an immediate two-week ban for the member and their family. Trial or open mat participants (and their families) will receive a lifetime ban.
- Parental Conduct: Parents are expected to model positive behaviour. Negative comments from parents, whether directed at their child or others, will result in a two-week suspension for both the parent and child.
- Family Accountability: If a child intentionally harms another during a trial or open mat class, the entire family (including any full members) will receive a permanent ban.
Coaching Staff: Our coaches are held to the same standards. Any coach reported for aggressive or malicious behaviour will be immediately stood down for two weeks pending investigation. Depending on the outcome, the coach may be permanently removed from the gym.
7.3 Uniform
- Trial/Open Mat Participants: May wear any comfortable, clean, and odour-free clothing without buttons, zippers, or objects that could cause harm. Clothing must not stain mats.
- Members (Gi Classes): Any brand of gi is permitted, provided it includes at least one High Rollers patch (available for purchase at the front desk).
- Members (No-Gi and Kickboxing): Any clean, odour-free clothing without offensive language is allowed.
- Competitors:
- Gi: Any brand of gi is permitted, provided it includes at least one High Rollers patch (available for purchase at the front desk). No co-branding with competitor clubs (sponsors allowed).
- No-Gi: Must wear a High Rollers rash guard or shorts. No competitor club branding is permitted.
There are no exceptions to these uniform requirements for competition.
NB, Independant of High Rollers and depending on the competition and discipline (Judo, BJJ or No-Gi), there maybe differing requirements for the uniform (e.g. material thickness, colour of gi, etc.). This will be discussed on a competition by competition basis.
By participating in any activity at High Rollers, you acknowledge and agree to abide by this Code of Conduct. Breaches may result in suspension or termination of membership, as outlined above.
8. Health and Safety
8.1. You must declare any pre-existing injuries or medical conditions before participating in classes and at registration.
8.2. Participation is at your own risk. Always follow instructor directions and train within your limits.
8.3. High Rollers is not liable for injuries sustained while on the premises except where required by law.
8.4 All members are required to check-in to class upon arrival via our Gymdesk system. This is to ensure members who are training are adequately covered with our insurance during the class.
9. Personal Belongings
9.1. High Rollers is not responsible for loss or damage to personal belongings.
9.2 Where personal belongings are found, High Rollers will keep items in lost and found and if not claimed reserve the right to dispose of it on the 1st day of each month.
9.2. Please do not bring unnecessary items to class.
10. Privacy
10.1. We collect and store your personal information in accordance with the Australian Privacy Principles.
10.2. Your information will only be used for membership administration and will not be shared without your consent except as required by law.
11. Changes to Terms
11.1. The Gym may update these Terms and Conditions from time to time. Members will be notified of significant changes at least 28 days in advance.
12. Judo Participation and Judo ACT Membership
If you wish to participate in Judo classes and progress through official Judo grading at High Rollers Canberra, you must register as a member of Judo ACT within the first two weeks of training. Registration is requirement set by the Judo Federation of Australia, as Judo is an Olympic sport with strict standards for grading, competition, and insurance. Registration with Judo ACT ensures your grades are nationally and internationally recognised, and provides essential insurance coverage while training and competing.
Upon registration, you will be required to select your club 'High Rollers Canberra'. As a club, we are part of the Judo ACT committee and represent your interests. If you have any comments, issues or thoughts which you would like to take to the committee, email: admin@highrollerscanberra.com.au.
Please note that High Rollers Canberra does not collect any fees for Judo ACT registration. This is a direct relationship between you and Judo ACT, a not-for-profit organisation. To register, please visit the Judo ACT Registration Page.

14. Photography and Social Media
14.1 High Rollers - From time to time, High Rollers Canberra may take photos or videos during classes and events for use on our website, social media, and promotional materials. By becoming a member, you are opting in to having your image used in this way, unless you notify us otherwise in writing.
We fully respect your privacy—if you do not wish to have your image published, please let us know at any time and we will ensure your preference is respected.
14.2 Members and Parents
We recognise that capturing memories and sharing achievements is an important part of our community. However, we also have a responsibility to respect the privacy of all members, especially children.
- Personal Photography and Video:
Members and parents are not allowed to take photos or videos of any class activities unless that activity is solely performed by the child and or parents (e.g. without training partners or training partners visible in the background) - Respecting Others’ Privacy:
If your photo or video may include other children or participants, please seek permission from the coaches prior to any discussion with other members or their parent, guardian, or the individual (if an adult) before taking the image and especially before sharing it on social media or any public platform. - Social Media Sharing:
Do not post images or videos of other members or children without the explicit consent of those individuals or their legal guardians. - Club Events:
For official club events, High Rollers Canberra may designate a photographer or provide guidance for group photos to ensure everyone’s privacy preferences are respected.
15. Video Surveillance
For the safety and security of all members, staff, and visitors, High Rollers Canberra operates video surveillance cameras throughout the premises (excluding changing rooms and bathrooms). By entering our facility, you acknowledge and consent to being recorded while on the premises. Footage is used strictly for security purposes and is managed in accordance with our privacy policy.
